Sell SOPs to AI? Check what the software you wrote them in keeps

A company's SOPs record how the work is really done, which is what AI buyers now pay for, and most were written inside a documentation or quality tool with its own contract. We read 22 documents from 15 of those tools, newest on 2026-10-28: 5 of them keep a right to use customer data once it is anonymised or aggregated.

The process

  1. Tell us what kind of procedures you hold, the tool they live in and whether the company is trading, closing or being sold.
  2. We set that tool's clauses beside the rules that made your sector write the procedures in the first place.
  3. You hear back with the route that suits the company: licensing the procedures while it trades, a sale of the records by the directors while no liquidator or administrator has been appointed and no winding-up petition has been presented, or by the office-holder or with the court's order after that, or a route agreed with the adviser who sent you.

No SOP platform, quality system or buyer pays to be listed here, and nothing on the site is an affiliate link. Every row is how we read the platform's published wording; for your own contract, ask a lawyer. How we are paid: if a company licenses or sells its procedures to a buyer we introduced, it pays us 12.5% of the deal, subject to a minimum fee, where we are its exclusive agent, or 10%, also subject to a minimum, where its data goes into a bundle or the pool, agreed in writing first; any fee a buyer pays us is credited back to the company.

SOP and quality platform terms on your procedures, by platform

Last updated

Each row is one SOP, work-instruction or quality-management platform, every answer standing on a sentence of the document linked beside it. Not stated means the documents we read leave the question open.

Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 15 vendors, 22 documents.

The questions we get

Can a company sell its SOPs to an AI company?
It can license procedures it owns, and the tools they were written in mostly agree they are the customer's: 12 of the 15 platforms on our board say so. Qualio says the customer owns and will continue to own its data, and Whale says it does not claim ownership of your content.(Sop software data terms: every row, with its source)
Do SOP tools train AI on the procedures we write?
Most that answer say no. Whale, Waybook, Guidde, ZenQMS and Process Street each state they do not train on customer content, and MasterControl trains only with a specific opt-in. Scribe's terms are the exception: the licence you grant it covers training, fine-tuning and validating machine learning models.(Sop software data terms: every row, with its source)
Which platforms keep anonymised copies of what we write?
5 of the 15 we read. Tango takes a perpetual licence to anonymised customer data for any purpose, Scribe's licence lets it de-identify your content and use and disclose the de-identified data, and ScreenSteps may use aggregated or deidentified data derived from your content. SimplerQMS goes the other way and says it will not use stored content for its own use.(Sop software data terms: every row, with its source)
How long do we have to export our SOPs after cancelling?
Whale lets you export for 30 days after the end in CSV, JSON or PDF, Tallyfy gives a 30-day export window, Qualio grants up to thirty days of access if you ask in writing before termination, and Trainual makes one export of written content, without media, on a request within 30 days.(Sop software data terms: every row, with its source)
Which procedures was the company required to write down?
Drug makers need written production and process control procedures, sites handling highly hazardous chemicals need written operating procedures, and US food facilities need a written food safety plan. In the UK an employer with five or more employees must record its health and safety arrangements.(Sop software data terms: every row, with its source)
Who takes SOPs for AI training?
micro1 names SOPs, reconciliations and reporting workflows, and its data partnerships page looks for established companies with 30+ full-time employees. Nyne asks for three or more years of real operational workflows, and Troveo names the records behind tickets, workflows and approvals.(Sop software data terms: every row, with its source)
What does not sell?
Procedures carrying a client's confidential method, staff records and customer contact lists. Buyers on our board want the how of the work with people removed: Grepped strips customer names and contact details before anything leaves processing.(Sop software data terms: every row, with its source)

The question this page is here to answer

Who takes a company's procedures, workflows and operating records for AI training, what does each name, and through what door does an owner reach it?

5 of the 15 SOP and quality platforms we read keep some use of customer data. Tell us where your procedures live and how the company stands, and a person replies.
